We meet regularly at Longcroft Hall, in the West Port, Linlithgow. All welcome!
Membership is £4.20 a month (one annual payment), which goes mainly towards hiring the hall and paying guest speakers.
It is free to come along for the first few visits to see if the club suits you.
The club has been running since 1997.
Constitution
1. The club shall be called LINLITHGOW PHOTOGRAPHY CLUB.
2. Membership shall be open to all interested in photography.
3. Acceptance of the constitution and competition rules is implicit in membership of the club.
4. Annual Subscriptions and weekly subscriptions will be at a rate determined at the Annual General Meeting.
5. The officials shall consist of President, Secretary, Competition Secretary and Treasurer. The officials shall constitute the Executive Committee. The Executive Committee has the power of co-option to fill any vacancies during the period of office. All members should be regarded as the committee.
6. The Executive Committee members will be elected annually at the Annual General Meeting.
7. For committee meetings a quorum shall consist of three, of whom two must be from the Executive Committee.
8. Three weeks notice to all members must be given before the Annual General Meeting is held.
9. An Extraordinary General Meeting may be called at any time by the Executive Committee and also on receipt of two weeks written notice to them by fifty percent of the membership stating cause. Members will be notified accordingly.
10. The Executive Committee shall manage the affairs of the club.
11. The Secretary shall keep minutes of all meetings and conduct general club correspondence. The Competition Secretary shall conduct correspondence relevant to that office. The treasurer shall collect all monies due and provide an audited balance sheet for inspection at the Annual General Meeting.
12. The Executive Committee must ratify any expenditure.
13. Any member may be expelled from the club at the discretion of the Executive Committee.
14. No equipment to be removed from the club premises without the express permission of the Executive Committee – with the exception of the Club Laptop which is the responsibility of the Competition Secretary.
15. No alteration or addition to these rules shall be made except at the Annual General Meeting or an Extraordinary General Meeting.
NB: It was decided to suspend affiliation to any outside bodies for the 2020-21, 2021-22 and 2022-23 seasons and continue as, essentially, a loose gathering of like-minded individuals. Should the situation change in the intervening period, then it is likely that the Club will resurrect formal membership along with the application of the relevant rules, regulations and affiliations. Contact details will, however, remain ‘as is’.
General Data Protection Regulation (GDPR)
Linlithgow Photography Club only collects personal data from our members for internal use by the club.
From May 2018, the personal data we collect is limited to name, e-mail address, telephone number and your date of joining a club.
There is the option to provide your own photographic website address if you wish that on our “Links” web page which will only be active during your paid membership.
On renewal, members are asked to confirm or update their details.
This data is kept for current Club Members for two years.
For members who have not renewed, details are held for a further year until it is determined that they are no longer members.
Data will only be retained by the treasurer who will be the club contact for membership.
A copy will be available to the president and secretary when necessary.
Members’ name will be provided to the Competition Secretary.
Information is only stored to maintain a list of current and recent members.
Data is also used for anonymous analysis of attendance and figures over the years.
Membership forms are retained until audited in March, they are then shredded and disposed of in a secure manner.
Personal information held by us will never be shared with any other organisation.
Personal information that you share with us will always be used in accordance with GDPR guidelines.
